OK all. This is fast approaching so I thought I'd post up here what needs to be done in the lead up, on the day and afterwards.
Lead up
Finish trail:
Couple of little touch ups needed (I'll be out there Saturday arv)
Fix up the entrance into the new section that by passes bottom fire rd
Berm up the bottom corner where the new "dump section" crosses the road and joins to the older section
Cut last bit of single trail near cemetery to keep riders away from the main road.
Mow/whippersnip a couple of wider sections to allow overtaking options
Bunting
Course will need bunting. we can make a start on this now but the event center around the show ground will need to be done the Friday or Saturday before the race. I have rolls of SRAM bunting for the event center and some big orange stuff that Mark O'toole donated for the rest. We also have short length of conduct to use as poles we can dig into the ground to mark out corners. We try and bunt low (about 30cm off the ground) for 2 reasons. 1)keeps it out of the way for photographers 2) If a rider stuffs up and runs wide they'll hopefully run over the bunting with out making a mess of it
Pay attention to
Corners that could be straight lined
Anywhere that the course can be short cut
A and B lines, make them obvious
inside corners on the twisty stuff through the grass, If you don't mark it we'll have a straight track after the race.
Signage
Paul has done us up some coreflute signage with section names and the like. Matt and Kisma are getting some other stuff done(warning signs, road closed sings...) and Ian Hill is getting some more reflective arrows done up.
The section names and danger signs can go up this weekend and stay in place perminantly (I'll grab some tomato save nailing them into trees)
Direction arrows and "beware rider entering" can go up on the Friday afternoon or Saturday morning
Road closed signs will have to go sunday morning (any of the motor bike riders or 4x4ers want to volunteer to take a ride/drive down to the bottom of the 4x4 track (the one we cross over at the end of the new "dump" section) and put a sign and some bunting up down there to divert 4x4 and motorbike traffic?)
On That note any one want to volunteer to make up some sandwedge boards we can screw the signage too?
Event Center set up
Probably the Friday and Saturday before the race
I still need to sort out some bins and waist disposal
Mark the course around the showground
Set up a club area, we have a few pop tents available so a big area where we are all together would be great. I'm thinking we set up just before the transition and timing area.
make out a solo area where the solo riders can set up next to the trail as they come into the timing area
On the day
Set up:Rego opens at 6am so we need to be set up and ready to go. A few helpers on the rego desk would make life easy
Signage: All the signage indicated above will need to be in place by 7am at the latest
Track inspection: We're suppose to get someone to do a lap to make sure everything is ok and signs are in place. This will need to be completed before the rider briefing at 7.45. Anyone want to volunteer. Again it can be done on a motor bike if required.
Marshals: Marshals will need to be in place before the rider briefing at 7.45. Stevie, Tim and Luke will be manning 1 spot as a 3 man team, marshalling while they are not riding. Al kemp has offered to get another team together to man the other spot. If anyone else or their family and friends are willing to help out the more the merrier.
Volunteers:Skinny has volunteered to be head course directer but we need more people to help out with timing and general running about the event center. Be nice to get some more of the DH guys involved considering the XC guys have helped marshal and run the big DH races we've done over the last few years (+ the 8hr races give us the funds to do so). Those people riding in teams can also help out in between laps if possible
Some one needs to do a sweep lap of the course once the last rider goes through. if you are riding in a team the sweep lap counts to your tally even if your team mate didn't get back in time. Sweep just plods around behind the last rider and makes sure everyone gets back OK and lets the Marshals know they are OK to pack up.
Clean up: Bit obvious but we need to make sure we do a good clean up of show ground before we leave after the race. Road closed signs need to be taken down. Direction arrows and the bulk of the bunting and be gathered in over the following week
Afterwards
In the week following the race we need to make sure everything gets tidied up.
Bulk of the bunting pulled down and removed: we use to leave it up at lidsdale but it gets tatty and messy and makes the area look poor. So we need to take most of it down and carted away.
Trackside rubbish: riders are getting better but you still get the odd git who just throws his empty gu packet where ever. Or just chucks a busted tube to the side rather than carting it out. All this stuff will need to be collected.
Still working on bins and what not for the event center but these may need tobe carted to the tip
If everyone chips in and helps get this down I'm sure the event will run smooth and be a great success
